Terms and Conditions

1. Parties & Booking Confirmation

  1. This agreement is between Zambre Palace (the “Venue / Owner”) and the client (the “Hirer / Organizer”).

  2. Booking becomes confirmed only after receiving the required advance payment / deposit and a signed copy of this agreement.


2. Event Details & Guest Guarantee

  1. The Organizer will provide Zambre Palace with: event type, event date, start & end time, approximate guest count (Minimum Guarantee), and any room/stay requirements.

  2. Any change to guest count must be informed to the management at least 7 days before the event.

  3. Zambre Palace can accommodate:

    • Main A/C hall: 500–600 guests

    • Dining hall (A/C buffet): up to 250 guests

    • Guest rooms: 10 rooms (7 AC + 3 Non-AC)


3. Payment Terms & Deposit

  1. To confirm booking, an advance payment (as per quote) is required. This booking advance is non-refundable.

  2. Remaining balance and any extra charges must be settled no later than 7 days before event date.

  3. In addition, a security deposit may be required to cover possible damages or extra cleaning. This deposit is refundable after event completion, subject to venue inspection.


4. Cancellation & Postponement Policy

  1. If cancellation is made more than 60 days before the event date — 50% of the advance may be retained.

  2. Cancellation 30–59 days before — 75% of the advance is retained.

  3. Cancellation less than 30 days before — 100% of the advance is forfeited (no refund).

  4. Postponement requests will be treated as cancellation if changed within 30 days of the event date.

  5. In case of “no-show”, full charges apply according to agreed package and guest guarantee.


5. Venue Use & Rules

  1. Organizer must use the venue only for the purpose stated in the booking (wedding, reception, corporate event, etc.).

  2. Any external vendor (decorator, caterer, DJ, etc.) must be approved in advance. Unauthorized external vendors may be denied entry.

  3. Any fire-crackers, open flames, or unsafe electrical/lighting setups are strictly prohibited inside the premises.

  4. Alcohol, smoking and tobacco consumption are not permitted on premises (unless special permission is obtained in writing and relevant permissions/licenses submitted).

  5. Organizer is responsible for guest behavior — any damage to venue property caused by guests may result in deduction from security deposit or extra charges.


6. Décor, Setup & Clean-up

  1. Décor/setup arrangements must be agreed upon at least 7 days before the event.

  2. After the event, the venue must be vacated and cleared by the Organizer by the agreed end time. Any delay may incur extra charges.

  3. Any leftover items, decorations or waste must be removed by the Organizer. Zambre Palace is not responsible for unattended materials.


7. Liability & Force Majeure

  1. Zambre Palace will provide standard venue facilities — hall, rooms, furniture, basic lighting/AC — and does not assume responsibility for injury, theft or third-party damages.

  2. Any equipment rental, catering, decorations, entertainment is either provided by the venue or by approved vendors at Organizer’s risk.

  3. In the event of natural disasters, power failure (beyond venue control), government restrictions, or any unforeseen circumstances (“Force Majeure”), Zambre Palace is not liable for compensation or refunds.


8. Additional Charges & Services

  1. Any extra services beyond the initially agreed package (e.g. additional hours, extra catering, extra rooms, add-on décor) will be charged separately.

  2. Taxes, service charges (if applicable) are extra and will be billed as per prevailing government regulations.


9. Conduct & Guest Safety

  1. Organizer guarantees that all guests will behave responsibly. Zambre Palace reserves the right to deny entry or remove guest/s if safety rules are violated.

  2. Organizer is responsible for any damage caused by their guests or vendors, including interiors, furnishings, décor, CCTV cameras, parking area, etc.


10. Dispute Resolution & Governing Law

  1. Any disputes arising from this agreement will be resolved through mutual discussion. If not resolved, disputes will fall under the jurisdiction of courts in Pune, India.

  2. This agreement is governed by the laws applicable in Maharashtra, India.


11. Acceptance

By paying the booking advance and / or signing this agreement, the Organizer confirms acceptance of all the above terms & conditions and agrees to abide by them.
